    Executive Assistant I

    The Technological and Higher Education Institute of Hong Kong (THEi) is a member institute of the Vocational Training Council (VTC), established in 2012. It is an innovative, professional and entrepreneurial organisation committed to greening and sustainability. THEi offers more than 20 professional "Applied Science-Oriented" degree programmes across six Academic Departments: Department of Food and Health Sciences, Department of Construction, Environment and Engineering, Department of Sport and Recreation, Department of Hospitality and Business Management, Department of Design and Architecture, and Department of Digital Innovation and Technology. These programmes cover industries with growth potential in Hong Kong and the Asia-Pacific region. The programmes integrate practical applications with theoretical knowledge to ensure that students can effectively apply what they have learned. Our degree programmes are accredited by the Hong Kong Council for Accreditation of Academic and Vocational Qualifications, as well as by the relevant professional bodies where appropriate. By adopting an applied Science-Oriented teaching approach and focusing on applied Bachelor's degree programmes, THEi equips students with professional skills and knowledge to meet various future challenges upon graduation. THEi also collaborates closely with the industry and engage students in active learning pedagogies including a strong emphasis on project-based learning involving real-world problem-solving with and for local industries and professions.

    Major Duties:
    (a) To perform secretarial and administrative support to the Registry;
    (b) To support processing of student admission applications, vetting of qualifications, student visa applications, student records management, and examination scheduling and invigilation;
    (c) To supervise the work of Executive Assistants and/or minor grade staff, and to monitor their performance;
    (d) To assist in liaising and addressing enquiries of internal and external units including applicants, education agents and education institutions on student admission, registration and records matter;
    (e) To address enquiries and draft official correspondence, including emails, letters and notices;
    (f) To handle the sourcing, ordering and stock management of supplies, including the payment process, as well as asset management;
    (g) To assist in document management, and the compilation of management reports and statistics;
    (h) To provide logistical and on-site support for publicity and community outreach activities;
    (i) To maintain the website of the Registry; and
    (j) To manage ad hoc projects and any other duties as assigned by supervisor.
       
    Requirements:
    (a) (i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
      (ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
      (iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
      (iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
      (v) A recognised Associate Degree / Higher Diploma or above.
    * Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
    ^ “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
    (b) At least 3 years’ relevant work experience in the capacity of Executive Assistant (or equivalent) rank;
    (c) High proficiency in the use of computer software applications, including MS Word, Excel, PowerPoint, and Chinese word processing;
    (d) Flexible, polite, detail-oriented, organised, proactive, and with the ability of multi-tasking and working independently as well as be a good team player;
    (e) Able to appropriately handle confidential information and materials;
    (f) Good communication and interpersonal skills;
    (g) Good command of both written and spoken English and Chinese, preferably including Putonghua; and
    (h) Administrative and/or secretarial support experience will be an advantage.
       
    Notes:
    (1) The appointee may be required to perform duties at different sites and outside Hong Kong occasionally, and work irregular hours, shifts and/or on Saturdays and Sundays as necessary.
    (2) The remuneration package will be competitive and commensurate with qualifications and experience.
    (3) The appointee will work at Chai Wan Campus.
